Adding a network printer lets several people print to one device over Wi-Fi or Ethernet without connecting a cable to every computer. This guide explains how to prepare the printer and network, find its IP address, use automatic discovery, and add it manually on Windows and macOS. A network printer can be used by multiple computers, tablets, and phones through the same local network. Whether the printer is connected by Wi-Fi or Ethernet, the basic goal is the same: make sure the device has a reliable network connection, then add it from each computer using automatic discovery or its network address. The exact menu names vary by operating system and printer brand, but a careful setup process prevents most connection and driver issues.

Prepare the printer and local network

Start with the physical and network basics. Turn the printer on, load paper, and confirm that it has completed its own startup process without an error message. For a Wi-Fi printer, connect it to the same home or office network used by the computer. For an Ethernet printer, connect it to a router or network switch with a working network cable.

A computer and printer must normally be on the same local network or on network segments that are permitted to communicate. A guest Wi-Fi network often blocks access to local devices, so it is rarely suitable for printing.

Collect the details you may need

  • The printer model and manufacturer.
  • The network name, also called the SSID, for Wi-Fi setup.
  • The printer's IP address, such as 192.168.1.45.
  • An installed driver from the printer manufacturer, if your operating system does not recognize the printer automatically.
  • Administrator credentials if the device is managed by an employer, school, or IT department.

Many printers can print a network configuration page from their control panel. This page commonly shows the IP address, connection status, hostname, and hardware address. Consult the printer's on-screen network menu if you cannot find a print-report option.

Choose the best way to add the printer

There are three common installation methods. Automatic discovery is usually the fastest option at home. Adding by IP address is more dependable when discovery fails or when the printer should remain consistently reachable. A shared-printer connection is common in managed environments where a print server or another computer controls the queue.

Add a network printer in Windows

On current Windows versions, begin in Settings. Open Bluetooth & devices, select Printers & scanners, and choose Add device. Wait while Windows searches the network. When the printer appears, select it and follow the prompts.

If the printer does not appear, select the option stating that the printer is not listed. Windows then offers several manual choices. The most useful option is usually Add a printer using a TCP/IP address or hostname.

Windows manual IP installation

  1. Open Settings > Bluetooth & devices > Printers & scanners.
  2. Select Add device, then choose the manual-add option if discovery does not find the printer.
  3. Select Add a printer using a TCP/IP address or hostname.
  4. Enter the printer's IP address or hostname, then let Windows query the device.
  5. Accept the suggested driver, or choose a manufacturer driver if prompted.
  6. Give the printer a clear name, such as “Office Laser Printer,” and print a test page.

If Windows installs a generic driver but important features are missing, download the full driver or printing application from the printer manufacturer’s official support site. Manufacturer software may enable duplex printing, paper-tray selection, ink or toner status, scanning, and maintenance features.

Add a network printer on macOS

On a Mac, open the Apple menu, choose System Settings, then select Printers & Scanners. Click Add Printer, Scanner, or Fax. In many cases, the printer appears automatically in the default list. Select it, confirm the driver shown in the “Use” field, and click Add.

For a manual connection, open the IP tab in the Add Printer window. Enter the printer’s IP address, select the appropriate protocol if required, and choose AirPrint or the correct driver. Internet Printing Protocol (IPP) is generally preferred when it is supported because it is designed for modern network printing.

An IP address is useful only while it remains accurate. For dependable printing, reserve the printer’s address in the router or configure a static address according to the network administrator’s plan.

Test the connection and confirm key features

After installation, print a short test document rather than assuming setup is complete. Check that the right printer is selected, the document reaches the queue, and the printer produces the expected output. If the device supports duplex printing, color, multiple trays, or labels, verify one relevant setting before relying on it for a larger job.

You can also open the printer queue to see whether a job is paused, held, or showing an error. A job stuck in the queue can prevent later documents from printing. Cancel failed jobs, restart the printer if needed, and try again.

Useful post-installation checks

  • Confirm the printer name is easy to recognize.
  • Set it as the default printer only if it is your usual device.
  • Check paper size settings; Letter is commonly used in the United States and Canada.
  • Verify black-and-white or color defaults to control printing costs.
  • Confirm that the selected driver exposes the printer’s installed accessories.

Troubleshoot a printer that cannot be found

If the printer is online but cannot be discovered, work from the simplest cause to the more technical ones. First, compare the network name shown on the printer with the network used by your computer. A printer connected to a different Wi-Fi band may still work if both bands are on the same local network, but isolated guest networks and separate VLANs can prevent discovery.

Next, print the printer’s network report and verify its IP address. Try entering that address manually. If your computer can reach the printer’s embedded web page by typing the address into a browser, the network path is likely working and the issue may be driver or discovery related.

Also consider these common causes:

  • The printer has lost Wi-Fi connectivity after a router, password, or network-name change.
  • The router assigned a new IP address after the printer restarted.
  • A firewall, VPN, or endpoint security tool is blocking discovery or printing traffic.
  • The printer is asleep, offline, out of paper, or displaying a consumables or paper-jam error.
  • An outdated driver is incompatible with the operating system.

Restarting the printer, computer, and router can clear temporary communication problems, but it should not replace identifying the underlying cause. In a workplace, ask the network administrator before changing printer addresses, firewall rules, or router settings.

Use secure and stable network printing practices

Printers are networked devices and should be treated as part of the organization’s security posture. Change any default administrator password, apply firmware updates from the manufacturer, and avoid exposing a printer directly to the public internet. If remote printing is necessary, use a supported service or a secure organization-managed connection rather than opening unnecessary ports on a router.

For shared environments, restrict printer administration to authorized users. Remove old print queues from devices that no longer use them, and review the printer’s user guide for options such as secure print release, job storage, and access controls. For stability, create a DHCP reservation in the router so the printer receives the same address consistently without requiring a manually configured static IP.
