The Hardware Address Behind Your Networked Printer

A MAC address is a hardware identifier assigned to a network interface. In printing and scanning environments, it helps routers, access points, print servers, and IT teams recognize a specific printer or scanner on a local network. This article explains how MAC and IP addresses differ, why both matter for reliable device discovery, where to locate a MAC address on common printer interfaces and network reports, and how to use it for DHCP reservations, access controls, troubleshooting, and wireless setup. A MAC address is a unique-looking identifier associated with a device’s network interface. For a printer or scanner, it is one of the details that helps a local network recognize the hardware whether it is connected by Ethernet or Wi-Fi. You may need it when adding a device to a managed office network, reserving a dependable IP address, allowing the device onto a restricted wireless network, or locating the right machine among several similar models.

What a MAC Address Means

MAC stands for Media Access Control. A MAC address is commonly a 48-bit value written as six pairs of hexadecimal characters, such as 3C:52:82:1A:7F:B4. The pairs may also be separated by hyphens or written without separators, depending on the printer menu, router, or management software.

Manufacturers typically assign a MAC address to a network adapter. A multifunction printer with both wired Ethernet and Wi-Fi can therefore have more than one MAC address: one for its Ethernet interface and another for its wireless interface. Some devices also use a separate address for Wi-Fi Direct or other peer-to-peer features.

A MAC address identifies a network interface on the local network; it is not a universal proof of device ownership, location, or identity.

The first portion of many traditional MAC addresses identifies the organization that received the address block, while the remaining portion distinguishes a particular interface. Modern operating systems may use randomized addresses for privacy on Wi-Fi, but fixed-function printers and scanners normally expose stable interface addresses for network administration.

MAC Address vs. IP Address

MAC and IP addresses work together, but they have different jobs. A MAC address is used for local network delivery at the data-link layer. An IP address supports communication across an IP network and can change when a router’s DHCP service assigns a new lease. In practical printer support, users usually print to an IP address or hostname, while the router uses the MAC address to associate that device with an IP lease on the local network.

A common support mistake is to record only the printer’s current IP address. That can work temporarily, but the address may change after a reboot, lease expiration, router replacement, or network reconfiguration. Recording the MAC address enables an administrator to create a DHCP reservation so the printer consistently receives the same IP address.

Why Printers and Scanners Need It

Most home networks do not require a user to know a printer’s MAC address. Automatic discovery, vendor setup apps, and router DHCP handle the initial connection. The address becomes more important in offices, schools, healthcare settings, and other managed environments where network access and predictable device addressing matter.

Common administrative uses

  • DHCP reservations: bind a chosen local IP address to the printer’s MAC address.
  • Wireless access control: add an approved device address where a network uses MAC-based allow lists.
  • Inventory management: distinguish devices with similar names, models, or locations.
  • Troubleshooting: identify the correct DHCP lease, switch entry, or wireless client record.
  • Replacement setup: confirm that a new device is not mistakenly configured with an old printer’s IP reservation.

MAC filtering should not be treated as strong security by itself. Addresses can be observed on a local network and can be spoofed. Use WPA2 or WPA3 security, a strong network password or enterprise authentication, network segmentation, and timely firmware updates as the primary safeguards.

How to Find a Printer or Scanner MAC Address

The exact menu names vary by manufacturer and model, but the information is often labeled MAC Address, Hardware Address, Wi-Fi MAC, Ethernet MAC, or Physical Address. Check which interface is actually in use before copying the value.

On the device control panel

Look under a path similar to Settings > Network Settings > Network Information or Setup > Wi-Fi Setup > Network Status. On touchscreen multifunction devices, the address may appear in an information screen alongside the current IP address, signal strength, and connection status.

On a configuration or network report

Many printers can print a configuration page, network summary, or wireless test report. This is especially useful when the printer is not visible in a setup app. The report may list separate values for wired and wireless hardware addresses, so label the one you record.

From the router or network management console

Sign in to the local router or managed wireless controller and view connected clients or DHCP leases. Match the printer by its hostname, vendor name, current IP address, or connection time. This method is useful when a printer has no display, but verify the match before making a reservation.

A Reliable Setup Workflow

Use this process when assigning a stable address to a network printer or scanner. It avoids the conflict risks that can occur when a static IP address is manually entered on the device without coordinating it with the router.

  1. Connect the printer to the intended Ethernet network or Wi-Fi SSID.
  2. Print or view the network report and note the active interface’s MAC address and current IP address.
  3. In the router’s DHCP reservation area, create a reservation using that MAC address.
  4. Select an unused address within the appropriate local subnet, following the organization’s address plan.
  5. Restart the printer’s network connection or renew its lease so it receives the reserved address.
  6. Update the computer’s printer port, scan destination, or print server queue if it points to an older address.
  7. Print a test page and test scanning to confirm two-way communication.

For a business print server, it is often better to use a clear DNS name in the queue configuration when the network supports it. The reservation still provides stability, while the hostname makes later support and device moves easier to manage.

Solving Common MAC Address Problems

If a router does not show the expected address, first confirm the printer’s connection type. A printer previously connected by cable may now be using Wi-Fi, and each interface can report a different MAC address. Disable an unused interface if the device and organization’s policy permit it, or clearly document both addresses.

Do not confuse the MAC address with the printer serial number, product number, Wi-Fi password, or Bluetooth address. A serial number identifies the product for warranty and support purposes; it is not generally suitable for DHCP reservations. Also, do not publish MAC addresses in public screenshots or support posts unless there is a legitimate reason and the information has been reviewed.

When troubleshooting a device that repeatedly goes offline, check these points:

  • The DHCP reservation uses the active Ethernet or Wi-Fi MAC address.
  • The reserved IP address is in the correct subnet and is not already in use.
  • The printer’s wireless band and security settings match the network requirements.
  • The computer or print server points to the current reserved IP address or valid hostname.
  • Firmware and printer drivers are current and compatible with the operating system.

Good Record-Keeping for Shared Devices

For any shared printer or scanner, keep a simple internal record containing the device model, physical location, asset tag, active connection type, MAC address, reserved IP address, hostname, and administrator contact. This reduces downtime when a router is replaced or a printer is moved. If the device has separate wired and wireless interfaces, document both rather than assuming one address applies everywhere.

A MAC address is most useful as a precise network-management reference. It does not replace secure network design, but it gives administrators a consistent way to recognize the exact interface that needs a lease, policy, or diagnostic check.
