The right driver also affects output quality and workflow. On macOS, Image Capture and supported applications can use the system’s scanning framework. These layers make it possible for one scanning application to work with many devices, while the underlying driver handles model-specific communication.

Choosing the right driver

Start with the official support page for the printer or scanner manufacturer. Select the exact model and the correct operating system version. Similar-looking products can use different drivers, especially where one version includes a document feeder, fax capability, or a different regional paper-handling configuration.

  • Prefer the manufacturer’s package when you need scanning, duplex printing, tray selection, or maintenance features.

Driverless printing can be a strong choice for compatible devices because it relies on supported standards rather than a model-specific package. However, “driverless” does not mean software-free: the operating system still contains the components needed to discover the printer, describe its capabilities, and send a correctly formatted job.

Installing or updating a printer or scanner driver

Before making changes, note the device model, connection type, and current problem. If the device is managed at work or school, check with the administrator first; replacing a managed driver can interrupt access to shared queues or accounting features.

Signs of a driver problem

Not every print or scan failure is caused by a driver. A loose cable, a changed Wi-Fi password, an empty ink cartridge, a paper jam, or a blocked network connection can produce similar symptoms. Still, driver issues are likely when the hardware is detected but features disappear, jobs remain stuck in a queue, or a recent operating system update changes behavior.

Practical troubleshooting checks

  • Restart the printer or scanner and the computer, then retry with a simple one-page test.
  • Confirm that the correct device is selected rather than a virtual printer, an old queue, or an offline copy.
  • Check paper size and orientation in both the application and the printer preferences.
  • Remove stalled jobs from the print queue before retrying.
  • For network devices, verify that the printer has a valid connection and has not received a new network address.
  • Reinstall the official driver only after basic connection and queue checks have been completed.

If a scanner is visible but an application cannot scan, test with a different supported application. This can help distinguish an application-specific configuration issue from a driver or connectivity problem.

Security and maintenance considerations

Drivers operate close to the operating system and may have significant permissions. For that reason, download them only from the device manufacturer, your operating system’s built-in update service, or a trusted organization-managed software portal. Keep the operating system, device firmware, and driver package current when updates address compatibility, stability, or security issues.

In a shared office, standardized drivers reduce support complexity. Administrators may also configure defaults such as black-and-white output, double-sided printing, or secure release printing. Individual users should avoid changing network port settings, authentication options, or firmware without authorization.
